Terms and conditions - Short-Term Vacation Stay Rental Agreement

Key Stay Details & Rules:

Quiet Hours: Strictly enforced between 10:00 PM and 7:00 AM. No music is allowed, and all audio/voices must be kept to a minimum level. Outdoor areas and balconies must be entirely vacated between 10:00 PM and 6:00 AM.

Occupancy & Age Limits: The total number of guests must match the booking details. The primary guest and any unaccompanied guests must be over 20 years of age.

Check-In/Out: Standard check-in is after 3:00 PM (or 1:30 PM if early check-in is purchased). Standard check-out is before 10:00 AM.

Pets & Smoking: Pets are strictly prohibited unless specified in the listing - please check if unsure.

Smoking and unlawful substances are strictly forbidden inside the property.

Financial Policies & Penalties:

Payment Schedule: Secure bookings require a 20% non-refundable deposit. The remaining 80% balance is automatically charged 14 days prior to arrival. Bookings made within 14 days require 100% upfront payment.

Standard Security Bond: Subject to channel booked via (or short-long term status of booking), a credit card pre-authorisation hold ranging from NZD$250 to $500 is placed on the day of check-in and released post-stay if no damage or excessive mess is found. A 4% bank fee reimbursement charge applies if the card has to be charged for damages.

Fines & Violations:

NZD$1,000 fine, immediate eviction, and booking forfeiture for excessive occupancy, traffic, noise, or illegal activity.

Up to NZD$5,000 fine and eviction for hosting functions, parties, or gatherings.

NZD$500 fine plus extra cleaning fees for unauthorized pets.

Up to NZD$1,000 fine plus fumigation costs for smoking or substance odours detected upon check-out.

NZD$50 + GST fee for leaving the BBQ or oven dirty.

NZD$75 + GST fee for unapproved changes to bedding/furniture configurations.

NZD$65 + GST per hour (minimum 1 hour) callout fee if guests set off alarms or misuse electronics.

NZD$30 + GST fee for replacement lost or unreturned key

Housekeeping & Inclusions:

Guest Responsibilities: Before departing, we kindly request guests wash dishes (or stack in dishwasher and set it going, thanks), strip linen (but not duvet covers) or leave it on beds, empty the washer/dryer, log out of TV apps (e.g., Netflix), turn off appliances/heating, and return keys to the lockbox.

Excess garbage beyond the provided 2 rubbish bags and 2 recycling bins must be taken to the refuse centre.

Excessive Cleaning Fees: If standard cleaner turnaround time is exceeded due to extreme mess, an additional charge of NZD$55 + GST per hour, per cleaner applies. General additional time for rubbish removal or dumping fees is billed at NZD$100 per hour.

Fair-Use Policy: Utilities and Wi-Fi are included, but running heaters/air-conditioning excessively or leaving them on while the property is empty/windows are open will result in deductions from the bond. Heavy streaming or downloading is prohibited if the property has a limited data plan.

Cancellations & Liability:

Guest Cancellation: The booking platform service fee is entirely non-refundable and non-transferable under any circumstances. A request (within 14 days of check-in) to shorten a stay is legally treated as a cancellation of those missing nights. Travel insurance is highly recommended, as failing to secure a travel visa is not considered a valid reason for a refund.

Host Cancellations: In rare instances where a property becomes unavailable (e.g., natural disaster, loss of power, unexpected sale, owner re-occupying property), the host will offer alternative accommodation or a full refund of accommodation costs (excluding service fees).

Property Access: Staff or representatives reserve the right to enter the premises with reasonable notice to inspect or address issues, and can enter immediately without notice in emergencies or following neighbour complaints.

Channel specific cancellations:  

Vrbo, Direct and Google bookings only:

20% deposit at the time of booking is non-refundable, unless you cancel within 48 hours of booking, and your check-in date and time is at least 14 days away.

80% refund for cancellations made at least 14 days before check-in.

No refunds for cancellations made within 14 days of check-in.

Credit card payments (if relevant): 4% reversal fee applies to any refunds. 

A $250-$500 (dependent upon standard or lux-end property category) Pre-Authorised Damage Security Bond capture at check-in applies to bookings on these channels. Sufficient funds must be available on booking credit card for reservation to proceed. This Bond automatically released within 7 days from check-out date, and subject to the unlikely event of any damage occuring during stay or found at final inspection.

COMMERCIAL / LONG-STAY Payment Terms 

(applicable via pre-arrangement directly with private commercial companies, where payments are via bank transfer)

For bookings of one month or longer, all accommodation charges are payable in advanc accordance with the payment arrangement agreed between the parties.

Payment must be made either:

• in full by the 20th day of the month immediately preceding the month to which the accommodation charges relate; or

• in two instalments, payable on the 1st and 15th days of the month immediately preceding the relevant accommodation period.

The agreed payment arrangement will apply for the duration of the booking.

Any payment not received by the due date will be considered overdue. The accommodation provider reserves the right to require any outstanding amount to be paid before the relevant accommodation period commences and to take any further action available under the agreement in respect of unpaid amounts.
